How to do learner re-registrations

The Re-registrations function is used to re-register learners for the following year. This procedure affects statistics for Departmental reporting, the printing of transfer cards and learner class allocations for the following year.

My School > Learners > Year-end > Re-registrations

  • Warning: Ensure all prerequisites have been met before completing these steps. The administrative year-end cannot be reversed — major changes will need to be corrected manually.

How do I print re-registration forms?

First print the re-registration forms for parents to complete and return:

Reports > Learners > Forms > Re-registration Forms

How do I capture re-registrations?

  1. Navigate to My School > Learners > Year-end > Re-registrations. The list shows three column colours:

    • Red: Learners for whom no feedback has been received.

    • Orange: Re-registration forms still outstanding.

    • Green: Learners who have re-registered or are leaving the school.

  2. Select the class for which you want to capture re-registrations by clicking the blue eye icon next to the class, or select the class and click Select at the bottom.

  3. For each learner:

    • If the form is outstanding: indicate this by clicking the radio button next to the learner's name.

    • If the learner is re-registering: click the appropriate radio button.

    • If the learner is leaving: click the appropriate radio button.

  4. If all learners in a class are re-registering, tick the Select All checkbox at the bottom of the list.

  5. Note that the learner name backgrounds change from orange to green. Click Continue to proceed, or click Preview preliminary transfer cards to view and print cards for departing learners.

  6. Repeat this process for all classes in the school.

  • The system will not allow you to proceed to step 2 of the admin year-end until all outstanding forms have been processed.

  • Learners who have not re-registered will not be available for class allocation.

Frequently asked questions

Can I undo re-registrations?

The administrative year-end cannot be reversed. Be sure of your selections before proceeding. Any major changes will need to be corrected manually.

Why can I not move to the next year-end step?

The system blocks progress until all outstanding re-registration forms have been processed. Ensure all learners in all classes have been indicated as re-registered or leaving.

How do I print transfer cards for departing learners?

After re-registering a class, click the Preview preliminary transfer cards button to view and print the cards for learners who are leaving the school.

What happens to learners who have not re-registered?

Learners who have not re-registered will not be available in the class allocation lists for the following year. If a learner later wishes to re-register, this will need to be addressed manually.

How many learners in each class have not yet re-registered?

The red column on the re-registration screen shows how many learners per register class have not yet provided feedback. The orange column shows outstanding forms.
