Managing Assets (Sponsorship Inventory)

This article explains what assets are in Altivo, how to add and manage them, how pricing and duration types work, and how assets are tracked for availability and portal visibility. It is intended for school administrators managing the sponsorship inventory.

What is an asset?

An asset in Altivo represents a sponsorship opportunity your school can offer. Think of your asset list as your school's sponsorship menu. Common examples include billboards and signage, jersey and kit branding, event naming rights, programme advertising, PA system announcements, and digital screen advertising.

How do I add a new asset?

  1. Click Add Asset

  2. Fill in: Name (required), Description, Category, Price, Duration type, Total units, Image URL, List on Sponsor Portal, Public info

  3. Click Save

How does pricing and duration type work?

What is the difference between unpriced and free?

  • Unpriced (price left blank) - no listed price, value negotiated per deal. Pro-rata calculation is skipped on allocations.

  • Free (price set to R0) - explicitly offered at no cost. Pro-rata value will always be R0.

How does unit availability tracking work?

Each asset has a total units count. Altivo tracks:

  • Units allocated: currently assigned to sponsors via active allocations

  • Available units: total minus allocated

  • Availability status: Available or Booked

Altivo will not allow allocations exceeding available units for overlapping date ranges.

What controls whether an asset appears on the Sponsor Portal?

All three conditions must be met: (1) List on Sponsor Portal is enabled, (2) price is greater than R0, (3) at least one unit is available. The Public info field provides a marketing description for potential sponsors browsing the portal.

Frequently asked questions

My asset shows 0 available units. What should I check?

Check the allocations linked to this asset. If there are active allocations with dates overlapping today, those units are counted as allocated. Cancel or complete any outdated allocations to free up units.

The pro-rata value on an allocation seems wrong. What should I check?

Verify the asset's price and duration type are set correctly. Also check that the start and end dates on the allocation are correct. The calculation uses exact calendar days.

My asset is not appearing on the Sponsor Portal. Why?

Check all three conditions: the List on Sponsor Portal toggle is on, the price is greater than R0, and at least one unit is available. All three must be true simultaneously.

Can I have an asset with multiple categories?

Yes. An asset can be assigned to multiple categories simultaneously using the category selection on the asset form. This helps with filtering and reporting.
