OSM: Add-on: SBA Year Mark – CAPS (Combined School)

What this product means for your school

The SBA Year Mark – CAPS Add-on (Combined School) is a structured support service where the OSM team configures and maintains the School-Based Assessment (SBA) year mark formulas for all applicable grades from Grade R–12 within the d6 system.

This add-on works hand in hand with the Curriculum Support Plan – CAPS and cannot function independently.

  • The CAPS curriculum preset must be active before SBA year mark formulas can be applied.

  • This preset is only released by the Department at the start of each academic year, after which it is inserted into the system.

If the CAPS preset is not active, SBA formulas cannot be inserted.

Communication process

To ensure clear communication with schools, communication will be sent:

  • Before setup begins

  • During the setup process

  • Once setup is completed and schools may continue capturing marks

What the OSM team does

When your school is on this add-on, the OSM team will:

  • Insert and configure SBA year mark formulas for Grades R–12.

  • Apply the formulas in the system.

    My School > Curriculum > Subject Specific Formulas

  • Use the preset button on the formula page to apply CAPS-aligned formulas.

  • Ensure SBA year marks are correctly calculated for all DOE subjects.

  • Ensure full alignment with the CAPS curriculum structure.

Important system requirement

This add-on only works if:

  • The Curriculum Support Plan (CAPS) is active.

  • The CAPS preset has been released by the Department and inserted into the system.

  • All subjects are correctly activated across all four terms (Term 1–4).

SBA formulas can only be inserted after the Department releases the CAPS preset at the start of each year.

What this add-on covers

  • SBA year mark formula setup (Grade R–12)

  • CAPS preset-based formula configuration

  • DOE subject formula alignment using the system preset function

Not included in this add-on

  • Curriculum setup or changes

  • Subject allocation or subject groups

  • Promotion formulas

  • Non-DOE subject formulas

  • Calculation method redesign outside CAPS

Important notes

  • The preset button only works when the CAPS curriculum setup is correctly in place.

  • CAPS changes may impact SBA year mark formulas.

  • Schools must ensure CAPS compliance before setup.

Frequently asked questions

Why can SBA year mark formulas not be inserted immediately?

Because the CAPS preset must first be released by the Department at the start of each academic year.

Will changes to CAPS weightings affect SBA formulas?

Yes. Any deviation from CAPS may affect calculations.

Does this include non-DOE subjects?

No. Non-DOE SBA formulas remain the responsibility of the school.

How will schools be informed?

Communication will be sent before, during, and after the process.

This add-on ensures that all DOE SBA year mark formulas are correctly configured and CAPS-aligned, but it is fully dependent on the Curriculum Support Plan (CAPS) and the Department-released CAPS preset at the start of each academic year.
