How to allocate automatic academic awards

Automatic Academic Awards allow the system to automatically allocate achievements to learners based on Academic Criteria set up in advance. A learner's marks determine which achievements are received.

My School > Achievements > Allocation > Automatic Academic Awards

  • Prerequisite: Academic Criteria must first be set up at My School > Achievements > Databases > Academic Criteria before automatic allocations can be done.

How do I allocate automatic academic awards?

  1. Select the year and date to be assigned to the achievement. This date can be printed per achievement on the certificate.

  2. Select achievements per Category and Activity.

  3. Click Allocate.

  • Important: PDF versions of the current achievement setup are generated. If changes are made to achievements after allocation, the above steps must be repeated before a new PDF is generated.

Frequently asked questions

What is the difference between automatic and manual allocations?

Automatic allocations are calculated by the system based on learner marks and Academic Criteria. Manual allocations are done by a user for non-academic achievements such as Sport, Culture and Leadership.

What happens if I change achievements after allocation?

You must repeat the allocation process after any changes have been made. The system uses a PDF version of the setup — changes will not automatically be reflected on already allocated certificates.

Can I allocate awards for a specific category?

Yes. In step 2 you select the specific Category and Activity for which you want to allocate. You do not need to allocate all categories simultaneously.

Why do some learners not appear in the allocations?

Only learners who meet the Academic Criteria formulas will receive allocations. Check the setup at My School > Achievements > Databases > Academic Criteria if expected learners are not included.

Where can I view or edit allocated achievements?

Allocated achievements can be viewed and edited at My School > Achievements > Allocation > View or Edit Learner Links.
