How to set up a Pre-Primary Report Card template

The Pre-Primary Report Card template displays learner achievements as smiley faces (emotional indicators) rather than percentages. 

My School > System:  Curriculum > Databases:  Report Card Templates

Double-click your template name to edit it. The template has five configuration tabs.

Format tab

  • Letterhead: Pre-Printed, Standard, Digital (your own letterhead sent to Support) or Provincial. To use a different logo on smiley report cards, send the image to Support.

  • Absent days: Choose to print absent days and set the cut-off date (last day of term or custom date).

  • Report card heading: None, Report Card, Progression Report, Pro Forma Progression Report, Interim Report, or Custom Heading.

  • Scale table: None, Levels and descriptions, or Percentages, Levels and descriptions. Set sorting and line height.

  • Configure learner name format, grade format, mark column width, letter size and date format. Click Save.

Marks tab

  • Print the following assessment types: Select Combined Marks, SBA, PAT, Exam or ANA.

  • Print mark type: Choose Smiley and select a cross or bullet point to indicate the achievement level.

  • Subject level: Choose whether to print marks at Subject/Learning Area, Component/LO/Task or Assessment level.

  • Configure shading, font size, mark format (Percentage, Level or Both) and raw/weighted mark printing for each level.

  • Set rounding decimals and average calculation method. Click Save.

Promotion requirements tab

  • Choose whether to print promotion requirements and what to display: nothing, code (P/NA/R) or description (Pass/Not Achieved/Retained).

  • Note: Decision Guidelines must be linked at My School > Curriculum > Decision Guidelines and Term Decisions must be calculated before verdicts will print.

  • Enable Print learner promotion comments only at year-end (e.g. “Congratulations! You have been promoted to Grade 2”). Click Save.

Remarks tab

  • Enable Subject Remarks, Teacher Remarks and/or Parent Remarks lines as required.

  • If Biographical Information must print on the report card, move the relevant fields from the left to the right dual-list box. Only select fields that have data captured.

  • Click Save.

Signatures tab

  • Tick the boxes to print signature areas for the Teacher, Grade Head, Parent and/or Principal.

  • Principal signature: The image (JPG/PNG) must be sent to Support to upload. Only one principal signature can be stored. Tick Print saved principal’s signature to include it.

  • Click Save.

Frequently asked questions

Where do I generate the pre-primary report cards once the template is set up?

Go to Reports > Learners > Report Cards and select the pre-primary template from the dropdown.

Why are verdicts or endorsements not printing?

Ensure Decision Guidelines are linked at My School > System  >  Curriculum > Promotion Requirements:  Decision Guidelines and that Term Decisions have been calculated at My School > System  >  Curriculum > Promotion Requirements:  Term Decisions.
