How to set up and manage Achievements

Achievements are the items for which learners receive recognition or awards. These are grouped under School Activities such as Academic, Tennis and Leadership. Typical achievements include: Top 10 per subject, 1st team captain, head boy.

My School > Achievements > Databases > Achievements & Wording

The list can be filtered by status: Active, Inactive and/or Deleted.

How do I create a new Achievement?

  1. Select the relevant School Category and Activity.

  2. Click + Create New. The first three fields should be pre-populated. If not, close and reopen the screen.

  3. For the Academic Category, the Achievement Criteria must be selected. These criteria rules use learner marks to automatically allocate achievements.

  4. Select a Sponsor if the sponsor name must be printed on the certificate.

  5. Type the Achievement name in both Afrikaans and English. This name prints on the certificate, below the Activity.

  6. Select the certificate template to be linked to the achievement.

  7. Select the status of the achievement: active, inactive or deleted.

  8. Click the Prestasie button to add it to the Afrikaans text block. Click Achievement for the English text block. Additional fields such as Subject or Optional results can also be added.

  • Note: The text block setup must be repeated for both the Afrikaans and English text blocks, even if you plan to print in only one language.

  • Best practice: Add only the Achievement and Optional results buttons to the text block. Format the text as it should appear on the certificate. The rest is configured during the Certificate Template process.

  • Click Save. Achievements displayed in bright pink have not yet been linked to a certificate template. Refer to the Certificate Template article for instructions.

  • Important: If any information in an achievement is edited after allocation, the new format must be re-allocated at My School > Achievements > Allocation > Automatic Academic Awards for the changes to appear correctly on the certificate.

How do I edit or delete an Achievement?

  1. Select the relevant School Activity Category.

  2. Double-click the selected Achievement in the relevant Category and Activity, or click on the Achievement and select Edit.

  3. Edit information as required.

  4. To remove an Achievement, set the status to Inactive or Deleted. Any inactive status can be reactivated later.

Frequently asked questions

Why do some achievements appear in bright pink?

Bright pink indicates that the achievement has not yet been linked to a certificate template. Refer to the Certificate Template article to complete the setup.

What happens if I edit an achievement after it has been allocated?

You must re-allocate the achievement at My School > Achievements > Allocation > Automatic Academic Awards. Without re-allocation, the updated information will not appear on the certificate.

Must I set up both Afrikaans and English text blocks?

Yes. Both text blocks must be set up, even if you only print in one language, to ensure the certificate is generated correctly.
