Promotions allow you to advance each learner to the next grade after completion of assessments and re-registrations. This feature is only available for grades configured with the "no Calculation" decision method, and you should ideally start with the highest grade before proceeding to class groupings.
My School > People > Learners > Learner Year-end: Promotions
Access the Promotions function to mark learners as either promoted or not promoted to their next grade.
To determine which learners should be promoted, draw a Top Achievers Report showing all learners across all terms and subjects with their percentage marks. This report helps you make informed promotion decisions based on academic performance.
Navigate to Reports > Learners > Marks and Achievements: Top Achievers
Review the subjects and percentage marks for each learner across all terms
Use this information to identify learners for promotion or retention
After determining promotion decisions, use the register class interface to mark each learner individually. All learners initially appear marked in red with the Promoted option selected.
Click the blue eye icon for each register class
For learners who should be promoted, leave the radio button in the Promoted column selected
For learners who should not be promoted, click the radio button in the Not Promoted column
Review your selections and click Continue
Once confirmed, the entries will be marked in green and you may proceed to the next register class
You must indicate the promotion status for all learners before proceeding. If re-registrations have not been completed, the system will automatically return to that function. Similarly, you cannot proceed to class groupings until re-registrations, promotions, and admissions are completed for the entire grade.
Re-registrations: Must be completed before promotions can be finalised
Promotion indications: An indication must be made for all learners in every register class
Workflow order: Complete re-registrations, then promotions, then admissions before attempting class groupings
Grades configured to use the "2012 DOE NPPPPR guideline" have their promotion decisions calculated automatically by the system. These grades do not allow manual promotion marking and appear as read-only.
Red indicates learners whose promotion status has not yet been confirmed. Green indicates learners whose promotion status has been saved and confirmed. This visual feedback helps you track which classes have completed the promotion process.
Yes, you can return to any register class where you have set promotions and modify the decisions. Simply click the blue arrow button again to access the class and make any necessary changes before proceeding to the next stage of enrolment management.
