How to export marks and statistics

The Export Marks and Statistics function allows users to extract comprehensive academic data to Excel. This tool is essential for external reporting, data verification before printing reports, and analysing academic performance across phases.

Purpose of the function

Use this function to export marks and statistics for one or more phases to an Excel file. The export is suitable for external reporting, data verification before printing reports, and academic performance analysis.

How do I export marks and statistics?

Step 1: Filter and selection

  1. Select the relevant Academic Year from the drop-down lists.

  2. Select the correct Phase (e.g. Foundation Phase, Intermediate Phase, etc.) for which data is required.

Step 2: Learner type definition

Select the appropriate learner status to define the scope of the report:

  • Current Learners: Includes all active learners, including those leaving the school only at the end of the term.

  • All Learners: Includes every learner on the system, including waiting list learners who have already been assigned subjects.

Step 3: Generating the report

  1. Click the Export button.

  2. The system will generate an Excel file and automatically download it to your computer.

Frequently asked questions

Why are some learners' marks blank in the Excel file?

This usually occurs when marks have not yet been saved in the Marks per Learner or Marks per Group modules, or if the learner is not correctly linked to the specific subjects for that term.

What is the difference between 'Current' and 'All' learners in the export?

The 'Current learners' filter excludes learners who have already left the school. 'All learners' is a full database extract useful for historical records or checking whether waiting list learners have been incorrectly assigned marks.

Why does the export take a long time to generate?

The speed depends on the volume of data (e.g. if an entire phase's marks across multiple terms are extracted simultaneously). It is recommended to export per phase or per term for faster results.
