Mark Schedules

The Mark Schedules module provides a range of reporting tools to audit, verify and export learner performance data. These reports are essential for ensuring that school marks align with the requirements of the Department of Basic Education (DBE) and to provide transparent mark calculations to stakeholders.

Purpose of the function

  • Data verification: Confirm that all required marks have been captured before reports are generated.

  • Parent transparency: Provide a detailed breakdown of how a final mark was calculated.

  • Compliance: Export data in formats compatible with official Departmental schedules.

  • Academic review: Analyse task averages and symbol distribution to monitor grade performance.

1. Captured Marks Control Schedule

Used to identify missing data and audit the raw entry process. Displays marks per individual Task and Assessment, sorted by Class or Teacher. Learners who have left the school but are still linked to subjects will appear here. To exclude them from DBE schedules, remove them from the relevant Subject Group and Subject Choice.

2. Calculated Mark Schedule

Displays marks together with their proportional weights as defined in the Learning Programme. Configure the report as follows:

  • Show assessment: Select Yes to see assessment details.

  • Content: Select Empty (no marks), With Mark Out (raw scores only), With Weight Marks (raw marks + calculated weighted percentages) or With Raw Marks (all raw data + final totals).

  • Orientation: Portrait or Landscape.

  • Select the Academic year, Term, Curriculum, Grade and Subject.

  • Select whether to sort per Subject Group and whether to filter per Class or Teacher.

  • Select whether the Average and Level distribution should be displayed.

  • Click Generate report to open the report as a PDF.

3. Detailed Mark Schedule

Provides a per-learner, per-subject breakdown of each assessment contribution. This is the primary tool for handling parent queries about mark calculations and provides a technical audit of how raw marks reached the final term total.

4. Subject Mark Schedule

Provides a consolidated view of final calculated subject marks per learner for an entire class or grade.

5. Working Mark Schedule (Excel-optimised)

Specifically designed for integration with Departmental systems. Exports term marks to Excel so they can easily be copied to official DBE schedules. Select filters by Subject Group, Register Class or All Learners. Users require the right “May use Excel data extract function” on their profile to use this report.

Frequently asked questions

Why do departed learners appear on the report?

Departed learners appear by default if they were active during any part of the term. To exclude them from DBE schedules, remove them from the specific Subject Group and Subject Choice for the active term.

Why does the raw mark differ from the final percentage?

Differences between raw marks and final percentages are usually due to weighting configurations in the Curriculum setup. Use the Calculated Mark Schedule with the “With Weight Marks” option to audit the calculation process.

Can I still change marks for finalised terms?

No. Marks for closed terms cannot be edited. You can still view and report on them to maintain historical accuracy.
