Registering a New Learner

Overview

This article explains how to register a new learner in d6 using the structured 6-step enrolment process.

My School > Learners > Learners > Add Learner

Purpose of feature

The 6-step enrolment process ensures all required data is captured accurately and in the correct order. Completing all steps is a prerequisite for the learner to appear in class lists, marks, and attendance modules.

Step-by-step instructions

Step 1: Family information

  • New Family: Select this if no other siblings are currently at the school.

  • Existing Family: Search by family code or sibling name to link the new learner to an existing record.

Step 2: Learner information

  • Core identity: Enter names, ID numbers, ethnicity, and home language.

    • System logic: For SA citizens, the ID number is validated against the birth date and gender digits (7–10).

  • Registration date: The day the application is processed.

  • Admission date: The actual day the learner starts attending.

Step 3: Billing configuration

Select the applicable payment options. See the Learner Billing Configuration article for full details.

Step 4 & 5: Parent/guardian information

Capture contact data for both parents or guardians. See the Adding Parents and Guardians article for full details.

Step 6: Accountable person

Define the individual legally responsible for the account. See the Accountable Person article for full details.

Save the learner

  • Click Save Learner to complete the enrolment.

  • Click Save Learner and Add Subjects to proceed immediately to subject allocation.

Frequently asked questions

How do I register a new learner?

Navigate to My School > Learners > Learners, click Add Learner, and complete the 6-step process. Click Save Learner on the final step.

What is the difference between registration date and admission date?

Registration date is the day the application is processed. Admission date is the actual day the learner begins attending school.

Why is the learner not appearing in class lists after saving?

Check that all mandatory fields — including ethnicity and gender — are complete, and that the learner has been assigned to a register class.
