This article explains what the School Profile is in Altivo, what each field does, how weekly reach is calculated, how the PBO number enables Section 18A functionality, and what information appears publicly on the Sponsor Portal.

School Profile

What is the School Profile?

The School Profile is your school's identity in Altivo. It contains your school's name, contact details, address, and key settings that affect how the platform works - including your PBO number (for Section 18A tax receipts) and student count (for calculating weekly reach on the Sponsor Portal).

How do I edit the School Profile?

  1. Navigate to School Profile in the sidebar

  2. Click Edit

  3. Update any fields

  4. Click Save

What is weekly reach and how is it calculated?

Weekly reach = student count multiplied by 5 (school days per week). This number appears on your Sponsor Portal to show potential sponsors the level of exposure their branding would receive. For example, a school with 800 students has a weekly reach of 4,000. If your student count changes, update it in School Profile and the weekly reach recalculates immediately.

What information appears on the Sponsor Portal?

The portal displays: school name, logo, student count, and weekly reach. Your email, phone, address, and PBO number are internal fields only and are never shown to portal visitors.

Frequently asked questions

My logo is not showing on the portal. Why?

The logo field accepts a URL to an image hosted online. Ensure the URL is a direct link to the image file (ending in .png, .jpg, etc.) and is publicly accessible. URLs to Google Drive or private storage will not work.

I updated the student count but the portal still shows the old weekly reach. Why?

Refresh the page. The weekly reach recalculates immediately when student count is saved and requires no additional action.

We added a PBO number. Will existing sponsorships get Section 18A references?

No. Adding a PBO number does not retroactively generate references for existing sponsorships. Only new cash sponsorships created after the PBO number is saved will receive references.

Where do I change the school's currency or locale settings?

Altivo currently defaults to South African Rand (ZAR). Multi-currency and locale settings are planned for a future release.
