Settings, User Roles, and Account Management

ALTIVOSponsor Management

This article covers how to manage your personal account settings, understand the three user roles, change your password, and configure system settings. It also explains the difference between your personal Account page and the School Profile.

Settings and User Management

What is the Account page?

Click Account in the sidebar to view and edit your personal settings. This is your personal profile, not the school's profile (which is managed separately under School Profile).

  • Display name: The name that appears next to your actions in the system

  • Avatar URL: A profile picture set by providing a URL to a publicly accessible image

  • Email: Your login email, set during signup and managed through Supabase Auth

How do I change my password?

  1. Go to the Account page

  2. Use the password change option

  3. Enter your current password and your new password

  4. Click Save

If you cannot log in due to a forgotten password, use the Forgot password? link on the login page to receive a reset email.

What are the user roles?

Every user has a role that controls what they can do. Roles are enforced at the backend level - even if the interface shows a button, the backend rejects the request if the user's role does not permit it.

RoleWhat they can do
School AdminView all data, add/edit/delete all records, manage School Profile, configure levels, access all settings. The first user who signs up is automatically assigned this role.
School ManagerView all data, add/edit/delete sponsors, assets, sponsorships, and allocations, accept and decline enquiries. Cannot change school settings or level thresholds.
School ViewerView all data, use the AI Advisor, view dashboard and reports. Cannot add, edit, or delete any records. Ideal for School Governing Body members and finance staff who need oversight only.

How are roles assigned?

The first user who signs up for a school is automatically given the School Admin role. A full user management interface (inviting new users, changing roles, removing users) is planned for a future release. In the meantime, contact d6 support to add additional users or change a user's role.

What is on the Settings page?

The Settings page is accessible from the sidebar and is reserved for School Admins. It currently includes integrations configuration. Additional settings planned for future releases include locale and currency preferences, notification settings, integration connections, and data export preferences.

What is the difference between Account and School Profile?

PageWhat it controlsWho can edit
AccountYour personal settings: display name, avatar, passwordAny user (their own account only)
School ProfileSchool settings: name, address, student count, PBO number, logoSchool Admin only

Think of it this way: Account = who am I? and School Profile = what school do I belong to?

Frequently asked questions

I can see everything but the Edit and Delete buttons are missing. Why?

You are likely assigned the School Viewer role. This role provides read-only access. Contact your school's admin or d6 support to request a role change if you need to make changes.

I need to add another staff member from our school. How?

Multi-user management is planned for a future release. In the meantime, contact d6 support to set up additional user accounts with the appropriate role.

My avatar is not showing in the sidebar. What should I check?

The avatar field accepts a URL to an image hosted online. Ensure the URL is a direct link to a publicly accessible image file. URLs to Google Drive, Dropbox, or private storage will not work.

What is the altivo_superadmin role?

This is a d6 internal role that exists in the system for platform administration purposes. No superadmin users are currently active. It is not available to school users.
