How to manage sponsors for certificates in d6

Sponsor names can be added to facilitate automatic printing on selected certificates, enabling schools to customise certificate presentation with institutional branding. This article guides you through creating, editing, and managing sponsor records in d6.

My School > System  >  Achievements > Databases:  Sponsors

Access the Sponsors module from Achievements to manage all sponsor records.

How do I add a new sponsor?

  1. Click the +Add new button to create a new sponsor record.

  2. Enter the Sponsor Name in the mandatory fields for both Afrikaans and English. The system requires all fields to be completed before saving.

  3. Click Save to complete the addition.

How do I edit an existing sponsor?

  1. Select the sponsor you want to modify by double-clicking it or clicking the sponsor name and then selecting Edit entry.

  2. Make the required changes to the sponsor details.

  3. Click Save to apply the changes.

How do I activate, deactivate, or delete a sponsor?

  1. Select the sponsor by double-clicking it or clicking the sponsor name and then selecting Edit entry.

  2. Use the Status dropdown menu to select one of three options.

  3. Click Save to confirm your choice.

What status options are available?

  • Active: The sponsor is available for certificate printing and selection.

  • Inactive: The sponsor is retained in the system but unavailable for certificates. Use this to temporarily disable sponsors without permanent deletion.

  • Delete: The sponsor is permanently removed from the system and cannot be recovered.

Frequently asked questions

Why are both language fields mandatory?

d6 supports bilingual certificates (English and Afrikaans). Both fields must be completed to ensure sponsor names display correctly on certificates regardless of the selected language.

What is the difference between Inactive and Delete?

Selecting Inactive hides the sponsor from new certificate assignments but preserves the record for potential reactivation. Delete permanently removes the sponsor from the system and cannot be undone.

Can I edit a sponsor name after it is created?

Yes. You can edit sponsor names at any time by selecting the sponsor and clicking Edit entry, making your changes, and saving. Active sponsors can be modified without affecting existing certificates.

Will deleting a sponsor affect existing certificates?

Deleting a sponsor does not affect certificates that have already been printed or generated with that sponsor. However, the sponsor will no longer be available for new certificates.
