Subjects

Overview

The Subjects module contains the master list of all academic offerings available within the school's database. For South African public schools, the CAPS curriculum subjects are pre-loaded with the necessary regulatory coding. This module allows administrators to manage how these subjects are displayed on official documentation and schedules.

Purpose of Feature

While the subjects themselves are pre-configured, this feature allows schools to:

  • Standardize Reporting: Adjust the display order of subjects to match provincial requirements for Report Cards.

  • Ensure Compliance: Set the specific Department of Education (DOE) ordering for Progression Schedules.

  • Customise View: Filter and organise the subject database for easier administrative management.

Step-by-Step Instructions

1. Filtering and Viewing Subjects

  1. Select the relevant Curriculum and Grade.

  2. Use the status filters to toggle between Active, Inactive, or Deleted subjects.

  3. To Customise Columns: Right-click on any table heading. In the pop-up menu, use the green arrows to select or deselect the columns you wish to display (e.g., Code, Subject Name, Ordering).

2. Editing Subject Details

  1. Navigate to the specific subject you wish to modify.

  2. Click directly on the Subject Line to open the editable data grid.

  3. Update Subject Ordering:

    • To change the order on Report Cards, update the Ordering field.

    • To change the order on the Progression Schedule, update the DOE Ordering field.

  4. Enter the required numerical value (lower numbers appear first).

  5. Click on Accept Changes to save your changes.

System Behaviour

  • Pre-loaded Data: CAPS subjects are natively linked to specific LURITS/SA-SAMS codes. These links remain active in the background even if the display name is modified locally.

  • Global Application: Changes made to the Ordering or DOE Ordering fields update all relevant reports (Report Cards, Schedules, and Mark Sheets) instantly for the selected grade.

Restrictions & Reasons

  • Subject Creation: Users cannot manually add new subjects to the database.

    • Reason: Every subject must be linked to unique regulatory codes (LURITS) for Department of Education compliance. Unlinked subjects cause export failures during SA-SAMS submissions. All new subject requests (including non-departmental subjects) must be sent to support@d6plus.co.za.

  • Status Management: Subjects can be marked as Inactive or Deleted, but active academic records (marks) prevent deletion to maintain historical integrity.

    • Reason: Deleting a subject with existing data would result in orphaned records and corrupted academic transcripts.

  • Ordering Logic: If the Ordering fields are left as "0" or are identical, the system defaults to alphabetical ordering.

    • Reason: Numerical ordering provides a manual override to meet specific provincial or internal school formatting standards that do not follow alphabetical logic.
