How to set up Tardy and Late Setup

The Tardy and Late Setup module allows administrators to define attendance and disciplinary reasons and link them to discipline categories. This function enables the system to automatically generate system actions (letters, emails, SMS) when learners reach disciplinary points.

Purpose of this function

  • Tardy and Late reasons: Define reasons for attendance and disciplinary actions (e.g., Arrived late, Left early, Periods not attended).

  • Discipline linking: Link Tardy and Late reasons to discipline categories so the system can automatically assign points.

  • System actions: Define automatic system actions (letters, interview, SMS) that are triggered when points are reached.

How do I view Tardy and Late types and reasons?

Step 1: Select a Tardy and Late type

  1. Navigate to My School > General > Databases > Tardy and Late Setup.

  2. Click the dropdown under Tardy and Late Type to select a type.

  3. Three types are available: Arrived late, Left early, and Periods not attended.

  4. Each type has a default set of reasons that can be used.

Step 2: View and adjust the display order

  1. Double-click on the Tardy and Late reason to activate it for editing.

  2. Enter a number to define the display order.

  3. Click Save to retain the changes.

  4. Tip: Enter 0 (zero) to sort reasons alphabetically.

Prerequisite: Discipline categories and codes of conduct must first be set up under My School > Code of Conduct.

Step 1: Activate discipline linking

  1. Select the desired Tardy and Late Type and double-click on the reason.

  2. Click the checkbox under Link to Discipline? to enable it.

Step 2: Select the discipline category

  1. Select the Discipline Category Type (e.g., Violation, Recognition).

  2. Select the specific Discipline Category to which the reason must be linked.

  3. Click Save.

Step 3: System actions are generated automatically

  • The system automatically generates actions based on the Action Setup under My School > Code of Conduct > Action Setup.

  • Actions can include letters, emails to parents, and SMS messages.

System behaviour and restrictions

  • Prerequisite order: Discipline categories and codes of conduct must first be set up under My School > Code of Conduct before linking is possible.

  • Automatic point assignment: When a reason is linked to discipline, the system automatically updates points in My School > Code of Conduct > Conduct.

  • Action processing: The system generates Process Actions tasks for the Discipline Head to review and release letters, interviews, and SMS messages.

  • Action thresholds: Actions are only triggered when the number of points configured in Action Setup is reached.

Frequently asked questions

Can I edit the default Tardy and Late reasons?

Yes. You can edit any reason by double-clicking it. You can change the display order by entering a new order number.

What happens when a reason is linked to multiple discipline categories?

Each Tardy and Late reason can only be linked to one discipline category at a time. To link it to a different category, you must first unlink the existing connection.

How do I remove the discipline link for a reason?

Double-click the reason, uncheck the checkbox under Link to Discipline? and click Save. The reason remains available but will no longer cause automatic points or actions.

Can I assign manual discipline points without using Tardy and Late?

Yes. You can assign discipline points manually under My School > Code of Conduct > Conduct without using Tardy and Late reasons.
