How to set up Template Formulas
Template Formulas automate the calculation of final results to determine whether a learner is promoted or repeats the year. The system combines term marks, SBA components and exams without manual intervention.
My School > System > Curriculum > Year-end Formulas > Template Formulas
How do I create a new Formula template?
Select the Year, Curriculum and Formula type, then click Add.
Enter the Formula name in English and Afrikaans (e.g. FET Promotion 60/40).
Set a Sequence number and set the Status to Active.
Click Accept Changes and confirm with OK.
How do I build the formula logic?
Click the Edit Formula link next to the template.
Drag an assessment type (e.g. SBA) to the Promotion mark block (which turns green).
Enter the Weight for that category (e.g. 40).
Drag the relevant Terms to the assessment type blocks. At least one term per block is compulsory.
Specify the number of decimal places for rounding (leave empty for whole numbers).
Click Submit.
How do I assign formulas to subjects?
Click Assign to Subjects and select the Year, Curriculum, Formula type, Grade and the Template formula.
Select the applicable subjects in the left block and use the Right arrow to move them to the Assigned block.
Click Submit.
Frequently asked questions
Why does the Submit button not respond?
Every formula block (SBA/Exam) must have at least one term before the system considers the formula mathematically valid and allows saving.
Can I carry formulas over to the new year?
Yes. During the year-end roll process, tick the Copy Formulas checkbox under My School > Curriculum > Copy Learning Programmes.
