How to generate a Top Achievers report

The Top Achievers report identifies the highest-performing learners within a specific grade or register class. It allows granular ranking based on individual subjects or overall academic averages across multiple terms, and is used to generate merit lists for prize-givings and academic awards.

How do I configure and generate the report?

  1. Select the Academic Year, Grade, Learner Status (Mainstream or LSEN) and Mark Type (e.g. Term Mark or Promotion Mark).

  2. Set the Top number (e.g. Top 10 or Top 50) and choose Grouping: by Grade, Register Class or Subject Group.

  3. Set Rounding Decimals and choose the Calculation Precision:
     • Use Accurate Marks: Marks not rounded during intermediate calculations.
     • Use Rounded Subject Marks: Marks rounded at every step — aligns with SA-SAMS logic and exported departmental schedules.

  4. Choose whether to include learners with incomplete marks (absent entries).

  5. Select the Subjects and Terms to include.

  6. Click Generate to preview and print the PDF, or Export to Excel for further sorting.

Frequently asked questions

Which calculation method should I use?

Use Rounded Subject Marks if the list must match SA-SAMS averages for official award ceremonies. Use Accurate Marks for internal school rankings where you want the most precise averages.

Why is the Export to Excel option not available?

The export function is restricted to users with specific export permissions to protect sensitive academic rankings. Contact your Superuser to enable the right.
