Understanding System User Roles

Every System User in the d6 Communicator Portal is assigned a role that controls what they can see and do. Assigning the correct role ensures the right people can communicate on behalf of the school, without risking accidental changes to settings.

What roles are available?

  • Main Administrator: Full access to everything. Can change settings, manage all groups, upgrade plans, and manage the calendar. This role is assigned to the person who initially sets up the school's portal (usually the principal or school secretary).

  • Administrator: Full access except cannot change system settings (like the school logo or contact details). Can manage the calendar.

  • Group Moderator (All): Can only write and send messages to all groups in the community.

  • Group Contributor (All): Can write messages for all groups, but cannot send them. An Administrator must approve and publish the message.

  • Group Moderator (Specific): Can write and send messages only for the specific groups they are assigned to.

  • Group Contributor (Specific): Can write messages only for their assigned groups. Cannot send them without Administrator approval.

System behaviour and restrictions

  • Community vs group role: A person can have either a Community Role (applies to the whole school) or a Group Role (applies to specific groups), but not both at the same time.

  • Draft workflow: Group Contributors must Save as Draft — an Administrator will then review and publish the message.

Frequently asked questions

What is the difference between a moderator and a contributor?

A Moderator can write and send messages directly. A Contributor can only write messages and save them as drafts — an Administrator must review and publish them before they are sent.

Can a system user have both a community role and a group role?

No. Each system user can only have one type of role at a time — either a Community Role (which applies to the entire school) or a Group Role (which applies to specific groups).

Which role should I assign to a teacher who only needs to message their class?

Assign them the Group Moderator (Specific) role and link them to their class group. This lets them send messages to their group without accessing other school settings.

What can the Main Administrator do that a regular Administrator cannot?

The Main Administrator has full access including changing system settings (school logo, contact details), upgrading the school's plan, and managing all portal features. A regular Administrator cannot change these system settings.

Can I change a system user's role after they have been invited?

Yes. The Main Administrator can change any system user's role at any time from the System Users page.
