How to upload an SA-SAMS database

This article explains how to upload an SA-SAMS database to d6+ and what static information is retained. Please note that this step is not compulsory and is only needed for specific reasons outlined below.

When to upload an SA-SAMS database

Uploading an SA-SAMS database is only necessary for specific reasons. If you do not use it for one of these reasons, remove it as soon as possible to allow for a smooth end-of-year submission. The d6+ Admin Year-End process will remove your uploaded database, so always ensure you export, submit and back it up before that process.

Data retained with the current exported database

The following information can be captured in SA-SAMS and retained through the upload process: Infrastructure Register (for public or subsidised schools receiving building maintenance funds, section 14.5), LTSM or Learner Support Materials (for textbook management, section 14.1), Governance Documentation (required school policies, section 5), and Subject Sets (for subject allocation in SA-SAMS admin submissions, section 12.1.14/15).

Data requiring support assistance

If you need to retain the following, please contact support: Previous Assets (section 14.3 Fixed Assets), IQMS staff evaluation details (section 2.18 Development Appraisal), and SIAS learner support information (section 3.1.9). Remember to patch an old uploaded database regularly to the latest SA-SAMS version on your PC or laptop before uploading it to the d6+ system.

How to upload the database

  1. Navigate to My School > d6 Initiatives > Compliance > Upload SA-SAMS Database.

  2. Once you have added all your static and other data on SA-SAMS, zip the database file.

  3. Important: the database must be zipped directly and not placed inside a folder before zipping.

  4. Upload the zipped file using the upload function on the page.

  5. Once uploaded successfully, a green tick will appear on your export page with the date and time of the upload.

How to remove an uploaded database

  1. Navigate to My School / d6 Initiatives / Compliance / Export to SA-SAMS Database. Select Export to SA-SAMS Database where a Remove option is now visible.

  2. Click the Remove button. Note that this will immediately remove the database without a confirmation warning, so be certain before clicking.

Frequently asked questions

Can I upload a historical SA-SAMS database?

No. A historical SA-SAMS-only database cannot be uploaded to d6+. This functionality only caters for an exported database from d6+ where information was captured in SA-SAMS in the current year and latest version, then uploaded so that data appears in the next export.

What happens to my uploaded database during the year-end process?

The d6+ Admin Year-End process will remove your uploaded database. Always ensure you export, submit and back it up before running the year-end process, as the data will not be saved automatically.

How do I retain previous year data in the new database?

If you want the school's previous year data for any of the supported sections in the current year's database, please email support to have it inserted into the new database.

Why must I not zip the database inside a folder?

The system expects the database file directly inside the zip archive. If the database is placed inside a folder and then zipped, the upload process will not recognise the file correctly and may fail.
