How do I add follow-up actions to a workflow?

This article explains how to add, configure, and customise individual follow-up actions within a Fease workflow, including setting age brackets, action types, recipients, and templates.

How do I add a follow-up action?

Open your workflow under Configuration > Workflows, then click Add Action. For each action, configure:

  • Description: A name for the action (e.g., "Pay Now Reminder").

  • Age bracket and days outstanding: When the action triggers (e.g., 31–60 days).

  • Action type: Send Email, Send SMS, Letter of Demand, or Section 41 Letter.

  • Recipients: Accountable Person, Parent 1, Parent 2, or a combination.

  • Templates: Select the English and Afrikaans templates for the communication.

How do I customise existing actions?

  • Adjust timing: Change the number of days at which each action triggers.

  • Disable an action: Click the three dots next to any action and select "Disable". A DISABLED tag will appear.

  • Duplicate an action: Clone an existing action to create a variation (e.g., an additional SMS on day 50).

  • Prerequisite actions: Some legal letters (like Section 41) require a Letter of Demand to be sent first.

How do fee categories affect workflow actions?

Schools using multiple fee categories (bus fees, aftercare, etc.) can configure follow-up actions for specific categories. Note: if a parent owes on multiple categories, they will receive separate communications for each.

Can I disable a single action without affecting the rest of the workflow?

Yes. Navigate to the workflow, click the three dots next to the specific action, and select Disable. Only that action will stop — all other actions in the workflow continue as normal.

Why must a Letter of Demand be sent before a Section 41 letter?

This is a legal requirement. The Letter of Demand informs parents about fee exemption eligibility, which must happen before a Section 41 registered letter can be issued.

Will a parent receive multiple messages if they owe on both school fees and bus fees?

Yes. If actions are configured per fee category, a parent with outstanding balances on multiple categories will receive separate communications for each.
