This article explains how to create a new automated workflow in Fease, define its name, and configure whether it runs automatically. Workflows are the core mechanism for managing debt collection sequences.
Fease > Configuration > Workflows
A workflow is a series of pre-defined steps (called actions) that execute based on an account's financial status. Each step sends a communication (email, SMS, or letter) at a specific number of days outstanding, allowing you to manage debt collection sequences automatically.
Navigate to Configuration > Workflows.
Click Create New Workflow.
Enter a name (e.g., "Standard Workflow" or "Aggressive Workflow").
Check the Automatic checkbox if you want it to run without manual intervention.
Save the workflow.
Friendly reminder (email) — Sent at 15 days outstanding.
Friendly reminder (email + SMS) — Sent at 31 days outstanding.
Follow-up reminder (email + SMS) — Sent at 45 days outstanding.
Letter of Demand — Sent at 60–90 days (R29 per letter).
Section 41 registered letter — Sent at 91+ days (R49 per letter).
No. Accounts can only be assigned to a single workflow at any given time. This allows schools to tailor communication strategies to different groups of accounts.
Go to Configuration > Settings > Default Workflow and select the workflow you want to apply to new accounts by default.
The number of available workflows depends on your Fease pricing tier. Check with your d6 account manager for details on your plan.
