Subject Choices per Learner

The Subject Choices per Learner module is used to manage individual academic profiles. It allows administrators to link subjects to specific learners, assign them to the correct subject groups (classes), and capture marks directly within the learner's record.

Purpose of the function

To ensure each learner is correctly linked to their specific curriculum requirements. This module is essential for managing elective subjects, correcting group assignments, and performing individual mark audits without navigating through the mass capture screen.

How do I manage subject choices per learner?

Step 1: Search for a learner

  1. Select the relevant Academic Year.

  2. Filter by Learner Status (Current, All Left, Left during selected year, or All).

  3. Type at least three characters of the learner's name in the Learner Search field to generate the list.

  4. Select the learner to activate the management tabs at the bottom of the screen.

Step 2: Select Subjects tab

Use this tab to link or remove subjects from the learner's profile.

  1. Select the Term and Curriculum.

  2. Left column: Subjects available but not yet assigned to the learner.

  3. Right column: Subjects currently linked to the learner.

  4. To link: Select a subject on the left and click the Right arrow.

  5. To remove: Select a subject on the right and click the Left arrow.

  6. Click Save to store the changes.

Step 3: Manage Subjects tab

Use this tab to assign the learner to specific class groups and educators.

  1. Select the Term and Curriculum.

  2. Review the listed subjects. If a subject shows "None" under the Group column, the learner has not yet been placed in a class.

  3. Click on None to open the Subject group button.

  4. Select the correct Subject group and Educator and assign the learner.

Step 4: Capture Marks tab

Use this tab for individual mark entry or adjustments.

  1. Select the Term, Curriculum, and specific Subject.

  2. Click the Plus (+) icon next to the subject to expand the assessment fields.

  3. Enter the mark and the "Out of" value as required.

  4. Click Accept Changes.

Frequently asked questions

Why does the learner show "None" under the Group column?

The learner has not yet been assigned to a subject group (class) for that subject. Click on None in the Manage Subjects tab to select a subject group and educator and assign the learner.

Can I enter marks if the learner is not linked to a subject group?

No. A learner must first be assigned to a valid Subject Group in the Manage Subjects tab before marks can be captured for that subject.

Why can I not edit a learner's subject choices?

If the term has been finalised or the academic year has been closed, subject choices and marks are locked to protect historical data integrity. Contact your system administrator if a change is essential.
