Subject Choices per Subject

The Subject Choices per Subject module enables administrators to manage subject assignments from a subject-centred perspective. Instead of updating individual learner profiles one by one, this tool makes it possible to link an entire cohort or specific group of learners to a single subject simultaneously.

Purpose of the function

To streamline the assignment process for elective subjects (e.g. the choice between Accounting or Geography) and to ensure that subject enrolment lists are accurate for mark sheets and departmental reporting.

How do I manage subject choices per subject?

Step 1: Prerequisite check

The subjects available for selection are drawn directly from your school's Learning Programme.

  • Note: If a subject is missing from the list, it must first be added via My School > Curriculum > Curriculum Setup: Set up Learning Programme.

Step 2: Select filter criteria

Define the group you want to manage by selecting the following:

  • Academic Year: Select the year you want to work on.

  • Grade: Select the appropriate grade.

  • Gender: Filter by Male, Female, or Both.

  • Learning Programme: The specific curriculum.

  • Subject: The specific subject for which you are currently making assignments.

Step 3: Assigning learners

The screen displays two primary columns:

  • Left column (Active learners): Learners in the selected grade/gender not yet linked to this subject.

  • Right column (Assigned learners): Learners already linked to this subject.

To link learners:

  1. Mark the learner(s) in the left column.

  2. Click the Right arrow to link the learner to the subject.

To remove learners:

  1. Mark the learner(s) in the right column.

  2. Click the Left arrow to remove the learners from the subject.

Step 4: Save changes

Once the lists are correct, click Save at the bottom of the page to store the changes in the database.

Frequently asked questions

Why does a subject not appear in the selection list?

The subject may not yet have been added to the school's Learning Programme. Navigate to My School > System: Curriculum > Curriculum Setup: Set up Learning Programme to register the subject first.

I moved a learner to the right column but the change was not saved?

You must explicitly click Save at the bottom of the page. Simply moving between columns does not save automatically and changes are lost when the session expires.

Can I remove a learner from a subject after marks have already been captured?

In some cases the system may restrict removal if marks have already been finalised. This is to protect the integrity of academic records. Contact your system administrator if an edit is essential.
