How to generate a Voters List

The Voters List function generates a list for SGB (School Governing Body) voting. The report can also be used to verify the correct linking of families with learners.

How do I generate the Voters List?

  1. Select the date to print for. Learners who only arrived after this date will not be included in the list.

  2. Choose whether to print only Parent 1 and Parent 2 (legitimate voters) or to include all family members (e.g. grandparents, nannies added to the family).

  3. Choose to display the information per Register class or per Family in alphabetical order.

  • Siblings will be indicated per family in the last column of the report.

Frequently asked questions

Who qualifies as a legitimate voter on the SGB list?

Legitimate voters are the individuals recorded as Parent 1 and Parent 2 in the learner's family record. Other family members such as grandparents or nannies are not considered legitimate voters unless specifically selected in the report options.

Why is a learner not appearing on the Voters List?

The selected date determines eligibility. Learners who only enrolled after the selected date will not appear on the list. Verify the learner's registration date and adjust the report date accordingly.

Can I use this report to verify family-learner links?

Yes. The Voters List also shows family-to-learner associations and can be used to confirm that families are correctly linked to their learners in the system.

How are siblings shown on the report?

Siblings are indicated per family in the last column of the report, making it easy to identify families with multiple learners at the school.

Can I view the list per class or per family?

Yes. At step 3, you can choose to display the Voters List grouped by Register class or by Family, depending on how you need to use the report.
