Waitlist Admissions

The Waitlist Admissions module manages prospective learners applying for enrolment in a future academic year. The system provides two categories — Waitlist A and Waitlist B — allowing schools to classify applicants according to their admission policies.

How do I add a learner to a waitlist?

  1. Click Register Learner at the top of the screen.

  2. Enter the required information. Fields marked with a red asterisk (*) are compulsory for the initial save.

  3. Set the Registration Date to when the application was received — critical for first-come-first-served reporting.

  4. Set the Admission Date to the expected start date (e.g. the first day of the new academic year).

  5. Ensure the Status is set to Waitlist A or Waitlist B.

How do I process waitlist learners for admission?

  1. Navigate to My School > People  >  Learners > Learner Year-End:  Waitlist Admissions.

  2. Identify grades with numbers in the Red Column — this shows the count of learners still requiring a placement decision.

  3. Click the Blue Eye Icon next to the grade to open the processing screen.

  4. Update each learner's status: Placed (admitted), Not Placed (remains on waitlist), or Withdrawn (application retracted).

  5. Click Continue. The grade is complete when the red column shows 0.

Frequently asked questions

What happens to learners marked as Placed?

Learners marked as Placed are approved for enrolment. During the final Year-End rollover, the system automatically promotes them to Active status so they can be allocated to classes and appear on attendance registers.

Why is there a red column on the Waitlist Admissions screen?

The red column is a visual control showing how many learners in each grade still need a placement decision. The Year-End process for a grade cannot be completed until this number is zero, ensuring no applicant is overlooked.

Can I change a learner's status after clicking Continue?

Yes, provided the final Year-End rollover has not been executed. Return to the grade via the blue eye icon and update the selection. Once the rollover is complete, the screen becomes read-only to preserve the audit trail.
