Whereabouts Setup

The Whereabouts Setup module allows you to view and manage the available Whereabouts types and reasons used when capturing learner whereabouts entries. Whereabouts reasons can be linked to discipline, so that late arrivals are automatically recorded on the discipline report. Disciplinary Categories and Conduct must be set up first under My School > Code of Conduct before discipline linking will work.

How to view Whereabouts types and reasons

  • Select a Whereabouts Type from the drop-down box.

  • There are three types: Arrived Late, Left Early, and Periods not Attended.

  • Each type has a standard set of Whereabouts reasons that can be used for learners.

How to change the display order of Whereabouts reasons

  • Double-click on a Whereabouts reason to open the Edit window.

  • Enter the number that corresponds with the order in which you would like the reason to display.

  • Click Submit to save your changes.

  • Take note of the current display order before making changes.

  • Tip: If you set all order values to 0 (zero), Whereabouts reasons will display in alphabetical order.

  • Double-click on the Whereabouts reason to open the Edit window.

  • Tick the box under Link to Discipline? Additional fields will appear.

  • Select the applicable Disciplinary Category and Conduct from the drop-down lists.

  • Click Submit to save the changes.

System behaviour

  • Once linked, when a Whereabouts reason is used for a learner, the system automatically updates the learner's discipline points as configured under My School > Code of Conduct > Conduct.

  • Actions are automatically generated per the Action Setup at My School > Code of Conduct > Action Setup.

  • Tasks are created for the Disciplinary Head to review and release under My Home > Tasks > Code of Conduct Tasks.

  • Only users with School Administration rights can add or edit Whereabouts reasons.

Frequently asked questions

How can I edit an existing Whereabouts type?

System users can only edit the display order and the linked discipline information. If you need to edit the Whereabouts types or reasons themselves, log a support request by email.

Why is the Link to Discipline option not working?

Disciplinary Categories and Conduct must be set up first under My School > Code of Conduct before the discipline linking option will function.

What does setting the display order to 0 do?

Setting all display order values to 0 (zero) causes Whereabouts reasons to display in alphabetical order automatically.
