This article explains the two SA-SAMS databases every school must export from d6 at year-end: the Final District/EMIS database and the Final Valistractor database. It is for administrators and curriculum staff responsible for DBE compliance. You will learn what to complete first, when to export each database and how they differ.
My School > Compliance > Export to SA-SAMS Database
Compliance tasks: All tasks at My School > Compliance > Outstanding Compliance Tasks are complete.
My Tasks: No Admin or Curriculum tasks remain at My Home > Tasks.
Final Decisions: Decisions exist for all learners at My School > Curriculum > Final Decisions.
Year-End Preparation: The 11 Admin Year-End buttons at My School > Curriculum > Year-End Preparation are complete.
DBE verification: Your district office has signed off the SA-SAMS marks schedules and statistics.
Report cards: Final promotion report cards have been issued at Reports > Learners > Report Cards.
Locked marks: Term marks are locked per grade and term at My School > Curriculum > Learning Programme.
The table below shows when to export each database and what it is used for.
| Export | When to export | Used for |
|---|---|---|
| Term 4 export | Every Friday during Term 4 | Weekly district submissions |
| Final District/EMIS | At year-end, after all marks, moderation and promotion results are calculated | Official final submission to your District/EMIS office |
| Final Valistractor | Immediately after the Final District export | Submission to DDD 2.0 through Valistractor |
Navigate to My School > Compliance > Export to SA-SAMS Database.
Select Promotion Mark formula and Standard SA-SAMS database format.
Click Export.
Deploy the file in SA-SAMS and submit it to your district with the stamped and signed deployment letter and the Valistractor robot or sign-off report.
Back up the database safely in case the DBE requests it later.
Learners: Remain in the current year. Waitlisted learners are placed for next year.
Results: Contains moderated and condoned promotion results from your Term 4 promotion formulas and Final Decisions. All mark columns are locked and verified automatically.
SA-SAMS 3.19: Do not complete it. This database is not used in Valistractor.
Navigate to My School > Compliance > Export to SA-SAMS Database again.
Select Promotion Mark formula and Standard SA-SAMS database format, then click Export.
Unzip the file and open it directly in Valistractor. It is already deployed, so do not redeploy it in SA-SAMS.
Extract and submit, then back up the database.
Learners: Shown as progressed to their next grade, as DDD requires.
SA-SAMS 3.19: Completed automatically, confirming learners are promoted and statistics are final.
The table below summarises the differences between the Final District/EMIS and Final Valistractor databases.
| Export | Learner year | SA-SAMS 3.19 done? | Needs Valistractor? | Submit to |
|---|---|---|---|---|
| Final District/EMIS | Current year | No | No | District office |
| Final Valistractor | Next year | Yes | Yes | DBE/DDD 2.0 |
Two: the Final District/EMIS database for your district office, and the Final Valistractor database for DDD 2.0.
No. The Final District/EMIS database is deployed in SA-SAMS and submitted to your district. Only the Final Valistractor database goes through Valistractor.
No. It is already deployed. Unzip it and open it directly in Valistractor.
No. d6 completes it automatically in the Final Valistractor database. Do not complete it in the Final District database.
Yes. Export and safely store both databases before you complete the final Admin Year-End step.
Both final exports lock and verify all mark columns automatically, as the DBE requires, even if you did not lock them in d6.
