How to capture learner contacts

How to capture learner contacts

Use this function to manage which staff members have access to specific modules in d6 Connect. These rights apply to Resources, Calendar Events and Homework. They do not restrict contributors from sending d6 Connect messages (news items).

My School > People > Staff > Staff

What are the four communication roles?

  • Administrator — Full access. Can assign roles to other staff, manage users, add channels and calendars, and access all Resources, Calendars/Events, and Homework groups. Assigned automatically when a user has View and Change rights on Manage Communication Channels.

  • Moderator — Same access as Administrator except cannot manage users/roles or add channels or calendars. Can have different moderators per content type (e.g., one for Resources, another for Homework).

  • Editor — Can create, edit, and publish their own Resources and Calendar Events.

  • Author — Can create Resources and Calendar Events, but cannot publish them. A Moderator or Administrator must publish content.

Note: If a contributor receives Homework rights for a subject group, they automatically receive Marks Capturing rights for the same group. To prevent this, remove the subject group at My School > Curriculum > Marks Capturing Rights.

How do I assign communication rights to a staff member?

  1. Go to My School > People > Staff > Staff and open the relevant staff member's profile.

  2. Under Communication rights information, choose the relevant communication role.

  3. Set May use d6 Connect and d6 function to Yes to allow the user to send newsfeeds and use selected functions.

  4. Under Program rights information, set Manage communication channels and communication categories and Manage contact persons to View and Change as required.

  5. Click Save.

How do I apply channel message options?

  1. Select the staff member from the dropdown.

  2. Tick the relevant blocks for direct message options (SMS, email, d6 Connect, Excel export, Organisation/d6 Setup, Communication channels, Manage contact persons, User administration).

  3. Click the Channel message options tab, select the contributor type (Administrator, Moderator, Editor or Author), then link the relevant Resources channels, Homework grades/subjects, and Calendars.

Note: Enabling Excel export amends the Terms & Conditions between d6 Education and d6 Communication — d6 can no longer be held accountable for the safekeeping of exported data.

Frequently asked questions

Who can assign communication roles to staff members?

The Program Rights Administrator (Superuser) can assign roles to any staff member. Once a staff member is assigned as a Communications Administrator, they can also assign roles to other staff.

Can I have different moderators for different content types?

Yes. You can assign one staff member as moderator for Resources, another for Calendar Events, and another for Homework — each with access only to their assigned content.

Why did a staff member automatically get Mark Capturing rights?

Assigning Homework rights for a subject group automatically grants Marks Capturing rights for the same group. Remove the subject group at My School > Curriculum > Marks Capturing Rights if this is not intended.
