How to Create and Send a Message

This is the core workflow for sending any type of communication to your school community — from general notices to payment requests. Follow these steps to create, build, and deliver a message.

How do I create and send a message?

  1. Go to Messages and click New.

  2. Choose your recipients: a specific Group, Everyone, or individual people.

  3. Enter a message title. This becomes the push notification that parents see on their phone.

  4. Tick Important if the message is urgent — this flags the message and helps it stand out.

  5. Add content using the component buttons (Text, File, Image, Event, Form, Payment, etc.). See the article Message Components: What Can I Add to a Message? for details on each block.

  6. Check the preview panel on the right side of the screen to review how the message will look. Use the All Platforms button to preview the App, SMS, and Email versions.

  7. Click Next to choose your delivery method.

  8. The recommended delivery method sends via App first. If a member does not have the App, it falls back to Email, then SMS.

  9. Click Send.

System behaviour and restrictions

  • SMS costs: SMS messages cost money. The portal will show you the estimated cost before you send.

  • Avoid duplicates: Do not select all delivery methods at once — this may send the same message multiple times to one person.

What does the message title become on the parent's phone?

The message title is used as the push notification that parents see on their phone. Keep it short and clear so they know what the message is about before opening it.

Which delivery method should I choose?

The recommended method sends via App first. If a member does not have the App, the message falls back to Email, then SMS. This is the most cost-effective option.

Do SMS messages cost money?

Yes. SMS messages are charged per message. The portal will show you the estimated cost before you confirm sending. App and Email delivery are included in your plan at no extra cost.

Can I preview my message before sending?

Yes. The preview panel on the right side of the screen shows how your message will look. Use the All Platforms button to see how it appears on the App, via SMS, and via Email.

What does marking a message as "Important" do?

Ticking the Important flag highlights the message for recipients so it stands out from regular notices. Use this for urgent communications that need immediate attention.
