How to manage Marks Capturing Rights

The Marks Capturing Rights feature controls which staff members may enter and edit learner marks in the Curriculum module. Rights are assigned based on system roles (Subject Heads and Subject Group Teachers) or through manual allocation.

How do I configure global visibility? (Options tab)

Toggle Show subjects for which a user does not have capturing rights:
 • Enabled: Staff can view all subject marks across the school, but can only edit their assigned classes.
 • Disabled: Staff only see subjects they are specifically authorised to capture or edit.

How do I grant a teacher access to multiple subjects? (Per Staff Member tab)

  1. Select the Staff Member, Year, Grade, Learning Programme, and/or Subject.

  2. The left box shows unassigned Subject Groups; the right box shows authorised groups for this user.

  3. Move items from left to right to grant access, then click Save.

How do I audit or assign multiple teachers to one subject? (Per Subject tab)

  1. Select the Year, Grade, Learning Programme, and Subject.

  2. The table shows all staff currently authorised for that subject.

  3. Double-click a staff member’s name or subject group to open the allocation interface and add or remove users.

What do the colour codes mean?

  • Pink: Automatic rights granted to the designated Subject Head.

  • Blue: Automatic rights granted to the assigned Subject Group Teacher.

  • Black: Manual rights granted via the Per Staff Member or Per Subject tabs.

Frequently asked questions

Why doesn’t a staff member appear in the allocation list?

The staff member must have View and Change rights for 2.2 Learner Marks in the Staff module. Without this permission, they will not appear in the allocation lists.

Do capturing rights carry over to the new year automatically?

No. Rights are year-specific and must be re-verified during the year-end process. This ensures historical access does not carry over to new academic roles. Use the Copy Capturing Rights option in Copy Learning Programmes to transfer them efficiently.
