How to manage class lists, marks capturing rights, learner marks and report cards in d6

How do I create and manage class lists?

My School > People > Learners  |  Reports > Learners > Learner Reports: Class Lists

Class lists start with class grouping and register class setup, and end with the printable Class Lists report.

  1. Class grouping: divide learners into classes for the next academic year. This is a year-end function that becomes available in the fourth quarter and can only be done after the re-registration and promotion procedures have been completed. Read more: How to manage Class Grouping

  2. Set up register classes: assign educators to classrooms and configure the foundation for attendance and class management. Complete class grouping and class designation before starting — this process cannot be reversed at year-end. Read more: Set up register classes

  3. Generate class lists: navigate to Reports > Learners > Learner Reports: Class Lists to generate a document displaying all learners in a class group, with optional learner information fields. Ensure all new learners have been linked to their class groups first. Read more: Class Lists

How do I assign marks capturing rights?

My School > System > Curriculum > Curriculum Setup > Marks Capture Rights

Marks capturing rights control which staff members may enter and edit marks for which subjects and grades. Educators without these rights cannot capture marks.

  1. Navigate to My School > System > Curriculum > Curriculum Setup > Marks Capture Rights.

  2. Assign rights via the roles (Subject Heads and Subject Group Teachers) or allocate rights manually per staff member.

  3. Save — the educator can now capture marks for their allocated subjects and grades.

How do I capture and manage learner marks?

My School > People > Learners > Learner Marks

Marks can be captured in two ways, depending on the situation:

  • Marks per Group: capture marks in bulk for a complete subject group — the standard way educators enter assessment marks each cycle. Read more: How to capture marks per group

How do I set up and generate report cards?

Frequently asked questions

Why is a learner missing from a class list?

The learner has most likely not been linked to their class group. Link the learner to the correct class group and generate the class list again.

Why can't an educator capture marks?

The educator has not been given marks capturing rights for that subject and grade. Assign the rights under My School > System > Curriculum > Curriculum Setup > Marks Capture Rights, either via the Subject Heads and Subject Group Teachers roles or manually.

When do I use Marks per Group versus Marks per Learner?

Use Marks per Group for normal bulk capturing of a whole subject group each cycle. Use Marks per Learner for individual adjustments or for learners who join the school mid-year and need their academic history captured.

Can report cards be emailed to parents?

Yes. Once generated, report cards can be printed or emailed directly to parents from the Report Cards module.
