How to generate Report Cards

The Report Cards module generates official learner progress documents for internal and external distribution. It consolidates academic marks, attendance records and educator remarks into professional templates that can be printed or emailed directly to parents.

How do I set up and generate report cards?

  1. Template: Select a pre-configured template (e.g. Smiley/Pre-Primary, Primary or High School). To edit a template, go to My School > Curriculum > Databases > Report Card Templates.

  2. Year, Term and Curriculum: Select the relevant academic year, term and curriculum.

  3. Promotion Results: For year-end reports, select Promotion Mark (not Term 4 results) to ensure the correct promotion formulas are applied.

  4. Language: Choose English, Afrikaans or Specific Tuition Language for parallel-medium schools.

  5. Print Report Card for: Choose Register Classes, Current Learners, Left Learners, House Sport Teams or a specific tuition language.

  6. Click Generate Reports to produce a PDF batch for printing or downloading.

How do I email report cards to parents?

  1. Click Email Reports at the bottom of the page. The system identifies parents with valid email addresses marked Receive Communication in the learner’s profile.

  2. Use placeholder tags (e.g. [Learner Name]) in the email body to personalise the message.

  3. This feature requires the May release report cards via email communication right.

What can I configure in the template?

Click Edit Chosen Template to customise: Letterhead (Standard, Digital or Provincial); Attendance (absent days, late arrivals, violations); Marks (assessment types, rounding, raw vs weighted, level depth); Averages & Positions; Promotion Requirements (verdict/endorsement wording); Remarks (line heights, parent signature space); and Signatures (digital principal signature, alignment for teacher/grade head/principal).

Frequently asked questions

Why is the Email Reports button missing?

You lack either the May release report cards via email communication right or the 2.1.2 Print report cards program right. Contact your Superuser to have the correct rights assigned.

Why should I select Promotion Mark for year-end reports?

Term results do not apply the statutory weightings required for progression. Promotion Mark uses the correct promotion formulas to calculate the final year-end result.
