How to view and manage learners per fee item

The learners per fee item report allows you to view which learners are associated with specific fee items in your billing system. This is useful for tracking fee allocation, generating billing reports, and managing learner accounts.

To view learners per fee item:

  1. Click on the Finance or Billing option from the main menu.
  2. Navigate to Fee Items or Fees and Charges.
  3. Select the specific fee item you want to investigate.
  4. A list of all learners associated with that fee item will be displayed.
  5. Review the learner names, grades, and any associated charges.

To filter learners by fee item:

  1. Open the Learners per Fee Item report.
  2. Use the filter options to narrow down results by:
    • Grade or class
    • Fee item type
    • Payment status (paid, unpaid, overdue)
    • Date range
  3. Click Apply Filters to view the filtered results.

To generate reports:

  1. With your filtered results displayed, click the Generate Report button.
  2. Select the report format (PDF, Excel, CSV).
  3. Choose which columns to include in the report.
  4. Click Download to save the report.

To manage learner fee allocations:

  1. Select a learner from the list.
  2. Review their fee items and charges.
  3. Make adjustments to fee items if necessary (adding or removing fees).
  4. Update payment records as payments are received.
  5. Click Save to confirm changes.

Tip: Regularly review the learners per fee item report to ensure accurate billing and identify outstanding fees that need attention.
