How to do debtor journals
The Debtor Journals function allows you to process three types of journals on debtor accounts. Click the Do a journal button and select the journal type from the dropdown.
Finance > Debtors > Journals
The three journal types are: Debtor Write-off Journal, Debtor Journal (adjustment), and Debtor Handover Journal. Once you click Continue, the journal is automatically posted.
How do I do a Write-off Journal?
Select Debtor Write-off Journal and the write-off type.
Select the relevant family/account and click Continue.
Enter the transaction date and select the Write off against account (typically "Bad Debts").
Enter the Total amount to write off or tick the relevant month checkboxes. The system fills in the total automatically.
Enter the Description, select the Approval given by, add the meeting date in the Remarks field, and click Continue.
How do I do a Handover Journal?
Select Debtor Handover Journal and choose the type: School Debtors to Collector, Collector to Collector, or Collector back to School Debtors. Follow the prompts for each type and click Continue.
Frequently asked questions
What do the red and green blocks mean?
The top block shows the total amount entered. The bottom block checks whether the amounts and selected months balance. Green = balanced; Red = not balanced — the system will not proceed.
Which account do I use for a Zero-rand Journal?
Always use the Suspense account for zero-rand adjustments.
