How to manage Waiting List admissions

Waiting List admissions are used to manage prospective learners applying for admission in a future academic year. The system provides for two lists (Waiting List A and Waiting List B) that schools can customise. Typically Waiting List A is for learners who meet the entry requirements and Waiting List B serves as a secondary list.

How do I add a learner to the waiting list?

  1. Go to My School > People: Learners > Learners > Learners.

  2. Click Enrol learner at the top of the screen and enter the learner's information. Only fields marked with a red asterisk (*) are compulsory for the initial application.

  3. Enrolment date: The date on which the application was received.

  4. Admission date: The future date on which the learner plans to join the school (e.g. the first day of the new year).

  5. Set the Status to the applicable Waiting List option (Waiting List A or Waiting List B).

How do I process waiting list admissions at year-end?

This step forms part of the administrative year-end procedure and is handled per grade:

  1. Go to the Waiting List Admissions screen. Grades with outstanding learners are indicated in the red column.

  2. Click the blue eye icon to the left of the relevant grade.

  3. The system marks all learners as Placed (Admitted) by default. Change the status where necessary:
     • Not Placed: The learner remains on the waiting list for the following year.
     • Withdrawn: The learner has cancelled the application.

  4. Click Continue to save the selections.

  5. Repeat until no numbers appear in the red column.

Frequently asked questions

When do waiting list learners become visible as active learners?

Learners marked as Placed automatically appear as active learners in the new year during the final year-end roll. All biographical information must be fully captured before the roll.

Why can I not assign waiting list learners to classes?

The Waiting List Admissions process must first be fully completed. It serves as a capacity validation and ensures that learners who have withdrawn do not unnecessarily occupy space in class lists.
