Introduction

The Fease system allows administrators to manage access for various school personnel by adding, removing, and defining user roles. Proper user management ensures that staff have the appropriate permissions to view or action fee-related tasks, maintaining security and operational efficiency.

Accessing System User Management

You may either access Fease from d6+ Finance via the Fease button or by going to the following URL: “1234.fease.tech” where 1234 is the school id number.  You will be able to log-in with your d6 account details via Single Sign On.

To manage system users, navigate to Configuration and then System Users within the Fease dashboard. This section provides an overview of existing users and options to modify them.

Adding a New System User

Please note: The number of system users allowed is subject to the school's chosen price plan.

Follow these steps to add a new user to the Fease system:

  1. Navigate to System Users: From the Fease dashboard, go to Configuration and select System Users.

  2. Click 'Add New User': Locate and click the button to add a new user.

  3. Enter User Details:

    • Name: Enter the full name of the new user (e.g., "Sunny").

    • Email Address: Provide the user's email address.

  4. Assign User Rights: Select the appropriate level of access for the user:

    • View Only: Users with this right can view information within the Fease system but cannot perform any actions or make changes.

    • User: Users can perform most actions within the system (e.g., follow up on accounts) but cannot access or modify configuration settings (e.g., templates, workflows).

    • Administrator: Administrators have full access and can perform all actions, including modifying templates, changing workflows, and other configuration settings.

  5. Save Manually: Click the 'Save' button to create the user account in the system.

  6. Send Invitation Email: After saving, an invitation email must be sent to the newly created user.

    • Important: This invitation email is valid for 24 hours only. The user must accept the invitation within this timeframe to gain access.

    • Resending Invitation: If the invitation expires or is not accepted, you will need to resend a new invitation from the System Users section.

Archiving a System User

To remove or archive a user from the Fease system:

  1. Navigate to System Users: From the Fease dashboard, go to Configuration and select System Users.

  2. Select User to Remove: Locate the user you wish to remove or archive from the list.

  3. Click 'Archive': Select the appropriate option next to the user's entry. This action will archive the user's access, effectively removing them from active use.
