Set up and manage academic terms

The Terms module defines the academic calendar structure within d6. Because the system is term-driven, term dates must be configured before modules such as Curriculum, Absenteeism, and Staff Leave can function correctly. Public schools typically use 4 terms per year; private schools may use 3.

My School > System > General > Annual Calendar > Terms

How do I create terms for a new year?

  1. Navigate to My School > System > General > Annual Calendar > Terms.

  2. Select the Calendar type: Learners, Educators, or Staff.

  3. Select the source year from the dropdown.

  4. Click Create terms for a new year.

  5. Review the copied terms, update dates as needed, then confirm.

How do I add a single term?

  1. Click Add Term.

  2. Complete the fields: Year, Term number, From/Until dates for Learners, From/Until dates for Educators.

  3. Click Save. Repeat for each term needed.

How do I edit or delete term dates?

  1. To edit: Double-click the term record, make your changes, and click Save.

  2. To delete: Click Remove Last Term to delete the highest-numbered term only.

  3. If data is linked to a term, you must remove or unlink that data before deleting the term.

Frequently asked questions

Can learner and educator terms be different?

Yes. Term dates are managed separately for Learners, Educators, and Staff.

What is the correct setup for staff (non-teaching) terms?

Staff should be configured with a single term running from 1 January to 31 December.

Why can't I delete a term?

Terms cannot be deleted if data (absenteeism records, marks, or leave entries) is linked to them. Remove or unlink that data first.

How do term dates affect SA-SAMS exports?

Accurate term dates are required for the LURITS/SA-SAMS export to generate valid submission files. Incorrect dates will cause validation errors.
