Microsoft Teams integration — user guide for schools

The Microsoft Teams integration is a premium feature for your d6 School Management Portal that lets staff create Microsoft Teams for their register classes and sync learners. This guide covers how to use the two staff-facing screens and what to do when things go wrong.

Overview

The integration adds two screens:

  • My Home > My User Settings (Microsoft Connection): connect, view, or disconnect your Microsoft account.

  • My Home > My Microsoft Teams: create Teams for your register classes and sync learners.

Important: Your d6 School Management Portal is the master. Changes made directly in Microsoft Teams (renaming a Team, adding or removing members) are not reflected back in the d6 School Management Portal. On the next sync, d6 will revert to its own records. This is by design. Both screens are only available to staff signed in via SSO.

Connecting your Microsoft account

Go to My Home > My User Settings, scroll to Microsoft Connection, click Connect, and complete the Microsoft sign-in.

Connection states:

  • Not connected (grey) — click Connect and sign in.

  • Connected (green, shows your Microsoft email) — no action needed.

  • Re-link required (red) — click Reconnect and sign in again.

To disconnect, click Disconnect and confirm.

My Microsoft Teams screen

Under My Home > My Microsoft Teams. Lists all your active register classes for the current school year with their Teams status, learner count, and last sync date.

Status badges

  • No Team (grey) — no Team created yet.

  • Pending (amber) — Team is being set up, or exists but no learners synced yet.

  • Active (green) — Team is live with at least one synced learner.

  • N Failed (orange) — Team is active but N learners failed to sync.

Action buttons

  • Create Team — creates a new Microsoft Team (available when the class has no Team and your account is linked).

  • Sync Learners — adds new learners and removes any who have left the class.

  • View Learners — shows each learner's sync status.

  • View in Teams — opens the Team directly in Microsoft Teams.

Creating a Team

Select a class with No Team status, click Create Team, and confirm. A loading indicator appears while Microsoft provisions the Team (up to 60 seconds). When done, the status updates to Pending. If Microsoft takes longer, wait and refresh.

Syncing learners

Select an Active class, click Sync Learners, and confirm. Small classes (under 20 learners) sync in one step. Larger classes show a progress dialog you can cancel — already-processed learners keep their outcome.

During the sync, your d6 School Management Portal removes learners who have left the class, adds new learners by matching their email in Microsoft, and skips learners whose email does not match any Microsoft account. When complete, a Sync Summary dialog opens with counts: Added (green), Already Member (blue), Failed (red), Unresolved (grey — no Microsoft account found), Removed (orange), and Removal Failed (red). If there are failed or unresolved learners, their names and a suggested action are shown.

Viewing learner sync status

Click View Learners (or double-click a class row) to see each learner's status: Synced, Pending, Failed, or Not Synced. Filter by status using the dropdown.

Failure reasons shown for unsynced learners: No email address on record (add the email in your d6 School Management Portal); No Microsoft account found (email does not match any account in your Microsoft tenant); Add to Team failed (Microsoft returned an error); Removed locally (learner removed from class but no Teams membership record was available).

Common errors and fixes

Microsoft account not linked: yellow banner appears prompting you to connect. Go to My Home > My User Settings > Microsoft Connection and click Connect.

Team stuck on Pending: Microsoft is still provisioning, or provisioning timed out. Wait and refresh; if still Pending, press Sync Learners to confirm the Team is live. If the Team never appears in Microsoft Teams, log a support ticket.

Learners showing as Unresolved: Your d6 School Management Portal could not find a matching Microsoft account. Check the email is filled in and matches Microsoft 365. The school's Microsoft admin may need to create the learner's account. Then press Sync Learners again.

Learners showing as Failed: usually a temporary Microsoft issue like throttling. Press Sync Learners again. If failures persist, log a support ticket.

View in Teams does not open: the Team was likely deleted directly in Microsoft 365. Press Create Team again — your d6 School Management Portal will clean up and create a new one.

Things to know

  • No register classes: the class list will be empty. The Teams feature only works for staff with register classes assigned.

  • Changes in Teams are not reflected in your d6 School Management Portal: manual changes in Microsoft Teams will be reverted on the next sync.

  • Team name does not update: the Team name is set when the Team is created. Renaming the class in your d6 School Management Portal later does not rename the Team.

  • Current school year only: Teams from previous years are not shown.

  • Cancelling a large sync: already-processed learners keep their outcome; only unprocessed ones are skipped.

  • Re-enrolled learners: if a learner leaves and rejoins the same class, they are added back automatically on the next sync.

Frequently asked questions

Why do I not see the Microsoft Connection section? It is only visible to staff signed in via SSO.

Can I manage Teams for another staff member's classes? No. The screen only shows your own register classes. Even school administrators cannot manage Teams for other staff's classes.

If I rename a Team in Microsoft, will my d6 School Management Portal update? No. Sync is one-way — changes in Microsoft Teams are not reflected in d6.

Will the Team name update if our class name changes in d6? No. The Team name is set when the Team is created. Rename the Team manually in Microsoft if needed.

How often should I sync learners? Whenever your class makeup changes — new learners enrolled, learners moved out, or at the start of a new term. There is no automatic sync.

What if I deleted the Team in Microsoft by mistake? Press Create Team in d6 again. Your d6 School Management Portal will detect the Team no longer exists, clean up, and create a new one. Then press Sync Learners.

How do I get help? Log a support ticket with the d6 School Management Support team. Please include the class name, what you were trying to do, and any error message shown.
