How to set up Subject-specific Formulas
Subject-specific formulas allow for individual mark calculation logic tailored to a specific subject. Unlike Template formulas, which are applied to multiple subjects, these are used for subjects with unique assessment requirements that do not fit the standard grade profile.

How do I configure the formula type and thresholds?
Select the Grade and set the Formula type to Promotion mark.
Enter the Rounding Threshold — any calculated promotion mark below this number is automatically rounded up on reports and mark schedules.
Double-click on the row of the specific subject to make the fields editable.
Change the calculation method to Custom Formula.
Click the Edit formula link in the last column.
How do I use preset formulas (CAPS schools)?
Click on the Subject-Specific Formulas tab and select the Grade.
Change the Formula type to Custom formula, then click Edit Formula.
Click Use preset at the bottom of the screen. If the button is grey, hover over it to see which tasks are missing or differ.
The system automatically populates the formula structure according to official weightings.
Click Save.
Frequently asked questions
What happens if a task is removed from the learning programme?
The task is automatically removed from any linked formulas. You must update the formula with the replacement task so the calculation remains valid.
What happens if a learner changes subject during the year?
The system uses “Last Term Logic.” If a learner changes from Maths to Maths Literacy in Quarter 3, the system ignores the Maths marks from Quarters 1 and 2 and calculates the promotion based only on the new subject's requirements.
