This article explains how to configure the automation behaviour, follow-up timing, thresholds, and notification settings that control how Fease sends reminders to parents. These settings apply globally across all workflows.

Under Configuration > Settings, choose which workflow applies to accounts by default. Different pricing tiers offer varying numbers of available workflows. Schools can create and switch to more aggressive workflows as needed.
The Automatic Follow-up toggle enables or disables the automatic execution of all workflow steps and reminders globally.
Recommendation: Disable the global automation and instead enable automation on individual workflow actions. For example, automate friendly reminders but keep Letters of Demand as manual actions.
Follow-up time: Sets the exact time of day that emails and reminders are dispatched when automation is enabled.
User notification: Select a specific user to receive notifications when follow-up actions are executed.
Follow-up wait days: Prevents over-communication. For example, if set to 7 days, no reminder can be sent to an account within seven days of the last one.
Follow-up threshold: Sets a minimum outstanding balance for reminders. Accounts owing less than this amount (e.g., R500) will not receive automated follow-ups.
All workflow actions that are marked as automatic will execute at the configured follow-up time without any manual intervention. This includes Letters of Demand and Section 41 letters if they are set to automatic.
If set to 7 days, a parent who received a reminder today will not receive another reminder for at least 7 days, regardless of what the workflow schedule says. This prevents parents from being spammed with multiple messages.
No. The follow-up threshold is a global setting that applies across all workflows. Accounts below the threshold amount will be excluded from all automated follow-ups.
