How to process Code of Conduct actions

Action Processing allows you to generate and print Code of Conduct letters for learners. Four letter types are available: Notice Letter 1 to Parents, Notice of Detention, Interview with Parents, and Interview with SGB. Once you click Continue, a letter is processed and cannot be edited — verify all selections carefully before proceeding.

How to access Action Processing

Action Processing can be reached in two ways: a task notification will display when you log in — click the hyperlink here to open it — or navigate directly via My School > System  >  Code of Conduct > Code of Conduct:  Action Processing.

How to process a Notice Letter 1 to Parents

  1. Select Notice Letter 1 to Parents (no of Letters).

  2. Select the date of the letter.

  3. Tick the box next to each learner who should receive a letter. Unticked learners will not receive a letter.

  4. Click Continue once you are certain all selections are correct.

  5. Click Preview to view the letters, then click the print icon to print. Click Download to save a copy to your hard drive.

  6. Close the preview screen and click Continue to return to the Action Processing main screen.

How to process a Notice of Detention

  1. Select Notice of Detention (no of Letters).

  2. Select the letter date, detention location, responsible staff member, detention date, and start and end times.

  3. Tick the relevant learners. Click Continue to proceed.

  4. Follow the print instructions, then click Continue to return to the main screen.

How to process an Interview letter (Parents or SGB)

  1. Select Notice Letter of Interview with Parents or Notice Letter of Interview with SGB.

  2. Select the letter date, interview location, interview date, and start and end times.

  3. Tick the relevant learners. Click Continue to proceed.

  4. Follow the print instructions, then click Continue to return to the main screen.

Frequently asked questions

Can I edit a letter after clicking Continue?

No. Once you click Continue, the action is processed and the date, location, times, and learner selections are locked.  If you want to delete it, you need to go to My School  >  System  >  Code of Conduct  >  Discipline Letters, delete the letter/batch to throw this action back to Action Processing.

How do I save a copy of the letters for future reference?

After previewing the letters, click the Download button to save a copy to your hard drive. It is good practice to save copies of all Code of Conduct letters for record-keeping purposes.

What is the difference between the Interview with Parents and Interview with SGB letter types?

Both letter types follow the same process. The Interview with Parents letter is addressed to the learner’s parents or guardians. The Interview with SGB letter is for a formal hearing before the School Governing Body and is used for more serious disciplinary matters.
