Levy Categories

Levy categories are the typical fees charged by the school, such as School Fees, After-school Care, Meals, Extra Classes or Arts Academy. Before billing can be done, the billing setup must be completed: this includes levy and grouping categories and payment options.

Note: Only one School Fees levy category must be created for the entire school. Different payment options (e.g. for Gr. R or Gr. 1–7) are managed under the payment option setup, not as separate categories.

How do I create a levy category?

  1. Click the Add button.

  2. Enter the levy category in Afrikaans (this name appears on the statement, e.g. “School fees charged”, “School fees paid”). Do not use phrases such as “School fees for Gr. 1–7”.

  3. Enter the levy category in English for parents who receive statements in English.

  4. Select whether opening balances for this category will be loaded (only applicable when migrating to d6).

  5. Select whether it is used as a levy category or statement grouping category.

  6. Select whether every learner must be linked to this category: Yes for compulsory fees (school fees); No for optional fees (after-school, arts academy).

  7. Select whether more than one payment option from this category can be linked to a learner (Yes for Extra Classes; No for School Fees).

  8. Select whether it is a school fees category.

  9. Select the bank details for the statement grouping (used for after-school or hostel with own bank account).

  10. Select whether a different emblem should appear on the statement (e.g. after-school's own emblem).

  11. Select the order of this category on the learner statement.

  12. Click Add.

How do I edit a levy category?

  1. Click the circle under the Selected column next to the category.

  2. Click Edit, make the change, and click Save.

Frequently asked questions

Why can I not remove the levy category?

If the levy category is linked to a payment option, it cannot be removed. First unlink all payment options before attempting to remove the category.

What will appear on the statement when a levy category is created?

The name you enter in the Afrikaans field is used on the statement. The system automatically appends “charged”, “paid” or “adjusted”. Ensure the name is short and descriptive, such as “School fees” rather than “School fees for Gr. 1–7”.

How many school fees categories may be created?

Only one school fees category may be created for the entire school. Use payment options within this category to differentiate between different groups' school fees.
