How to run compliance checks, resolve outstanding items and export to SA-SAMS in d6

This guide covers the compliance workflow in d6: running compliance checks, resolving outstanding items, and exporting your learner and school data to SA-SAMS for submission to the Department of Education. Work through the sections in order — resolving compliance tasks before you export avoids repeated corrections and re-exports.

My School > d6 Initiatives > Compliance

How do I run compliance checks?

The Compliance Tasks screen displays a list of all tasks related to SA-SAMS submission data. Use it to monitor outstanding compliance items before submitting data to the Department of Education.

  1. Navigate to My School > d6 Initiatives > Compliance > Compliance Tasks.

  2. Review the list of tasks related to your SA-SAMS submission data.

  3. Work through the items so your data is complete before export.

How do I resolve outstanding compliance items?

Outstanding Compliance Tasks display important data validations in priority order — the higher a task appears in the list, the more urgent it is. These validations check your data more thoroughly than SA-SAMS itself or DBE Data, so attending to them before exporting reduces repeated corrections and re-exports.

  1. Open the Outstanding Compliance Tasks screen.

  2. Work through the tasks from the top down, resolving the most urgent items first.

  3. Correct the flagged data on the relevant learner, parent or personnel profiles.

Mandatory learner fields: the Department requires certain learner fields (such as ethnicity and gender) to be completed for LURITS and CEMIS reporting. Check these under My School > Learners > Learners before export. Read more: LURITS/CEMIS Compliance

Do I need to upload an existing SA-SAMS database first?

This step is optional. Uploading a zipped SA-SAMS database lets d6 retain extra or additional static data captured in SA-SAMS in all future exported databases — the uploaded database serves as a base, and existing d6+ transactions are appended to it during export. It is useful for schools that need to retain data captured directly in SA-SAMS, but it is not compulsory.

How do I export learner reports and school data to SA-SAMS?

My School > d6 Initiatives > Compliance > Export to SA-SAMS Database

The Export to SA-SAMS Database function is how your school complies with Department of Education (DBE) regulations on data submission. A valid export requires certain learner, parent and personnel information to be included.

  1. Resolve your outstanding compliance tasks first (see above).

  2. Navigate to My School > d6 Initiatives > Compliance > Export to SA-SAMS Database.

  3. Select the applicable options, including the Reporting Language if your school reports in a different language internally.

  4. Generate the export and submit the database to the Department.

Frequently asked questions

In what order should I do compliance and the SA-SAMS export?

Resolve your Outstanding Compliance Tasks first, working from the top of the list down, and only then run the SA-SAMS export. Exporting with unresolved tasks leads to repeated corrections and re-exports.

Why resolve outstanding tasks before exporting?

The Outstanding Compliance Tasks validate your data more thoroughly than SA-SAMS itself or DBE Data, so fixing them first means your export is far more likely to be accepted without corrections.

Which learner fields are mandatory for the Department?

Fields required for LURITS and CEMIS reporting, such as ethnicity and gender, must be completed on the learner profiles under My School > Learners > Learners. See the LURITS/CEMIS Compliance article for the full list.

Is uploading an SA-SAMS database compulsory before exporting?

No. It is an optional step for schools that want to retain extra static data captured directly in SA-SAMS in their future d6 exports.
