Term Decisions


Overview

The Term Decisions module is an automated diagnostic tool used to calculate, monitor, and adjust learner results for a specific term. The system evaluates marks against linked Decision Guidelines (e.g., 2012 DOE-NPPPPR) to provide a real-time status of "Achieved" (A) or "Not Achieved" (NA). This module allows administrators to perform manual moderations and apply concessions while maintaining a strict audit trail.

Purpose of Feature

  • Automated Diagnostics: Instant identification of learners at risk based on official promotion logic.

  • Moderation & Concessions: Allows for administrative overrides of system-calculated results with mandatory reason logging.

  • Bulk Processing: Facilitates mass recalculations or "Promote All" actions for a specific grade.

  • Detailed Mark Audits: Provides a granular view of individual learner marks across all subjects within a single interface.

Step-by-Step Instructions

1. Viewing Learner Results

  1. Select the Year, Grade, Curriculum, and Term.

  2. The list of learners will display their Calculated Results (system-generated) and Moderated Results (manual overrides).

  3. Info Tip: Hover over the (i) icon next to a learner’s name to view a subject and mark breakdown.

  4. Decision Reason: Hover over the Calculated Result to see the specific criteria a learner failed to meet.

2. Moderating a Decision (Manual Override)

  1. Double-click the learner's row or select them and click Moderate the selected learner.

  2. Concession: Choose a concession type from the dropdown (e.g., Age/Phase Progression).

  3. Moderate Decision: Select the new status (Achieved or Not Achieved).

  4. Reason: Enter a mandatory reason for the override in both English and Afrikaans.

  5. Click Save.

    • System Note: Moderated results appear in red to indicate they differ from the system calculation.

3. Bulk Actions (Recalculate & Promote All)

  • Recalculate: Click Recalculate to refresh all data after bulk mark changes or weight adjustments.

  • Promote All: Click Promote All to override all "Not Achieved" results to "Achieved" for the entire grade.

  • Revert: Click Use calculated decision for all to clear all manual moderations and return to system defaults.

4. Individual Mark Entry and Overview

  1. Click on a Learner’s Name in the list.

  2. Select a Subject from the dropdown menu to view the captured marks.

  3. Add/Edit Marks: Click the Plus (+) button to add a mark line.

    • Note: Marks can only be entered at the specific level (Subject, Task, or Assessment) defined in your Learning Programme.

  4. Enter the Raw Mark and Out Of values. The system automatically calculates the percentage and level.

  5. Click Accept Changes.

System Behaviour

  • Audit Trail: The system logs the date, time, and user for every moderation. This is viewable by hovering over the (i) icon next to a moderated result.

  • Excel Integration: Detailed diagnostic reports are available via the Decisions Report button at the bottom of the screen (requires Excel user rights).

  • Real-Time Sync: Any marks adjusted within this module are instantly updated in the Marks per Group module and on report cards.

Restrictions & Reasons

Mandatory Override ReasonsThe system requires reasons in both languages to ensure accountability for departmental audits and parental enquiries.
Mark Entry Level LocksThe ability to add marks is restricted to the hierarchy level defined in the Learning Programme Setup to maintain data structure integrity.
Incomplete Calculation TasksIf marks are missing for mandatory subjects, the system cannot generate a verdict and will flag a task on the My Home dashboard.
